Buying a packing machine from China follows a repeatable process. Buyers who skip steps pay for it in mismatched machines, delayed shipments and weak after-sales support. Buyers who run the process consistently get machines at 40-60% below Western prices with acceptable risk. This guide is that process.

Step 1: Write Your Specification Before Contacting Suppliers

The single biggest driver of a successful purchase is a clear specification. Before you contact anyone, write down:

  • Product: what is being packed (powder, granule, liquid, solid), its bulk density, flowability, and fragility
  • Pack format: pillow bags, gusseted bags, stand-up pouches, bottles, cartons - with target dimensions and weight range
  • Speed: bags or bottles per minute, shifts per day
  • Utilities: your available power (voltage, phases, Hz), compressed air, floor space
  • Market requirements: CE or UL certification, plug type, contact-part material (SS304 vs SS316), language for the HMI

Send this to every supplier. Vague inquiries get vague quotes - and the factory will “upgrade” you to whatever they want to sell.

Step 2: Shortlist Factories, Not Trading Companies

  • Product catalog concentrated in one machine family (not “everything from filling to forklifts”)
  • Factory photos and videos showing their own production floor

  • Supplier index and export history you can verify

Trading companies are not always bad - they can aggregate and translate - but for custom machinery, factory-direct communication prevents the telephone game between you and the engineers.

Step 3: Demand a Video Test With Your Actual Product

This is the highest-value step in the entire process, and it is free. Ask each shortlisted factory to run your product, on the exact model quoted, on video. For powders, mail 1-2 kg samples; for liquids, describe viscosity and send photos; for solids, courier a bag of samples.

What you are checking: dosing accuracy across 20+ repetitions, bag appearance and seal quality, machine stability at target speed, and how quickly the operators correct minor issues. A factory that refuses a video test - or films a different product - has told you everything you need to know.

Step 4: Compare Quotes Specification-for-Specification

Three quotes for “automatic packing machine” can differ by 3-5x in price because the machines inside are different. Normalize every quote against:

  • Frame and contact-part materials (SS304 vs painted carbon steel vs SS316)
  • Electrical component brands (Siemens, Schneider, Omron vs unbranded)
  • Dosing system type (multihead weigher vs volumetric cups vs auger)
  • Included tooling: bag formers, change parts, spare parts package
  • Warranty terms (12-18 months is standard) and what the warranty excludes (wear parts)

The cheapest quote is usually missing one of these. The most expensive quote is rarely the best machine - it is often a trading company’s margin on someone else’s factory.

Step 5: Contract, Payment and Pre-Shipment Inspection

Standard payment terms are 30% deposit, 70% balance before shipment (T/T). Larger lines sometimes negotiate 30/40/30 against inspection. Protect yourself with:

  • A proforma invoice (PI) that lists the exact model, specifications, components, price terms (FOB/CIF), delivery date, warranty and spare parts list
  • A pre-shipment video inspection: run the machine at contract speed with your product, check wiring, finish and accessories against the PI
  • Optional third-party inspection (SGS, TUV, or independent inspectors, typically $200-400) for orders above roughly $30,000

Step 6: Shipping, Installation and After-Sales

Machines ship FOB Chinese ports; your forwarder handles freight (15-35 days by sea). On arrival you will need: an electrician for power hookup, compressed air (most machines need 0.4-0.7 MPa), and 1-2 days of commissioning - most factories now do this by video call with your technicians.

Agree the after-sales channel before payment: who answers when the machine stops, in what time zone, on WhatsApp or email, and how spare parts ship. Get the spare parts list and recommended stock with the machine, not after the first breakdown.

Buyers who run all six steps routinely get a $20,000-class line for $8,000-12,000 with a machine that actually matches their product. Buyers who skip the video test and specification writing are the ones you meet in trade forums complaining about Chinese machines. The difference is almost never the factory - it is the process.
